Privacy, in plain language

This policy explains what Crewplate LLC ("Crewplate," "we," "us") collects, why we collect it, and what you can do about it. It covers the marketing site at getcrewplate.com, the application at app.getcrewplate.com, and everything you store inside the Crewplate product. Every section opens with a one-line summary; the full text below it is the policy.

1. Who we are

We're Crewplate LLC, the company that makes Crewplate — reach us at hello@getcrewplate.com.

Crewplate is business software for service trades: clients, quotes, invoices, jobs, and hours in one place. It is made and operated by Crewplate LLC, a United States company. For anything in this policy — questions, requests, complaints — email hello@getcrewplate.com.

2. What we collect

Your account details, the books you keep in Crewplate, and the minimum needed to run the service — no ad trackers, ever.

Account data. When you sign up we collect your name, email address, company name, and a password. Passwords are handled by our authentication provider and stored only in hashed form — we never see or store the plain text.

Your business records. Everything you enter to run your business — clients, quotes, invoices, jobs, hours, payments, notes. These are your books. We store them so the product works; they are yours, not ours.

Your customers' data. The names, addresses, phone numbers, and email addresses of the people you do business with, as you enter them. You control this data; we process it for you (see section 6).

Usage data. Basic technical logs — requests, errors, rough feature usage — so we can keep the service up and fix what breaks. We do not run third-party advertising analytics, and the free calculators on the marketing site run entirely in your browser and send us nothing.

Cookies. Only what sign-in and preferences require: a session cookie that keeps you logged in and settings you've chosen. No advertising cookies, no cross-site tracking, no fingerprinting.

3. How we use it

To run the product, support you, keep the service secure — and nothing stranger than that.

We use your data to operate Crewplate: showing your own records back to you, generating the documents you create (quotes, invoices, exports), answering support requests you send us, securing the service against abuse, and meeting our legal obligations. We do not use your data to build advertising profiles, and we do not mine your books for any purpose other than serving them back to you.

4. The AI features

AI touches your data only when you press the button, sees only what that feature needs, and every action it takes is logged.

Crewplate's ✦ AI features act only when a user triggers them. When you press a ✦ button, the request includes only the data that specific feature needs, and it is processed solely to generate your result. The AI never runs in the background over your books, never acts on its own schedule, and every action an AI feature takes in your account — a draft created, a record changed — is logged so you can see exactly what happened. We do not use your data to train AI models.

5. Where your data lives, and subprocessors

Stored with Supabase in U.S. data centers; a short list of infrastructure vendors keeps the lights on.

Your data is stored in United States data centers. We use a small number of service providers ("subprocessors") to run Crewplate, each of which processes only what its job requires:

6. Your customers' data

Your customers' information belongs to your relationship with them — you're the controller, we process it on your instructions.

For the customer records you enter into Crewplate, you are the data controller and Crewplate is your processor: we store and process that data only to provide the service to you, on your instructions. We never contact your customers, never market to them, and never use their information for anything of our own.

Crewplate includes a built-in privacy-erase tool so you can honor your customers' deletion requests: it scrubs a customer's personal details from your books while preserving the financial records you may be legally required to keep.

7. Sharing

Never sold, never rented, never used for advertising. Full stop.

We share personal data only: with the subprocessors listed in section 5, to run the service; when the law genuinely requires it; or as part of a merger or acquisition, in which case this policy continues to bind the successor and account owners are notified. We do not sell personal data, we do not share it with data brokers, and we do not use it — or let anyone else use it — for advertising.

8. Retention and export

We keep your data while your account is open; you can take all of it with you at any time.

We retain your data for as long as your account is active. You can export everything — the complete books, in one file — from inside the app at any time, no request needed. If you want your account deleted, email us: we delete your account and books, except for records we are legally required to retain (such as tax and billing records), which are deleted when that obligation ends.

9. Security

Access rules are enforced by the database itself, and everything travels encrypted.

Role permissions are enforced with row-level security at the database layer — meaning a crew member's account cannot read owner-only data even if something above the database misbehaves. All traffic between you and Crewplate is encrypted in transit. Access to production systems is limited to the people who need it. No system is perfectly secure; if a breach ever affects your data, we will notify affected account owners promptly.

10. Your rights

Access, correction, deletion, portability — ask and we honor it, no matter where you live.

You can ask us to show you the personal data we hold about you (access), fix anything wrong (correction), delete it (deletion), or hand it over in a usable format (portability — the in-app export does this instantly). We honor GDPR- and CCPA-style requests from anyone, not just where the law compels us to. Email hello@getcrewplate.com; we will verify it's you and respond within 30 days. We will never treat you worse for exercising these rights.

11. Children

Crewplate is not for anyone under 16.

Crewplate is business software and is not directed to anyone under 16. We do not knowingly collect personal data from children. If you believe a child has provided us personal data, email us and we will delete it.

12. Changes to this policy

If this policy changes meaningfully, account owners hear about it before it takes effect.

We may update this policy as the product evolves. Updates are posted on this page with a new "Last updated" date. If a change meaningfully affects how we handle your data, we will email account owners before it takes effect.
